1. Introduction

Welcome to Project Trailhead (the "App"), operated by Project Trailhead, LLC ("we," "us," or "our"). We are dedicated to empowering transitioning service members, veterans, and military spouses by providing educational resources and tools to navigate the path to civilian life.

This Privacy Policy explains how we collect, use, store, and disclose your information when you use our App. Your privacy and trust are paramount, and we are committed to protecting your personal data. This policy is designed to comply with privacy laws across the United States and the requirements of the Apple App Store and Google Play Store.

By accessing or using our App, you agree to the terms of this Privacy Policy.

2. Information We Collect

We collect a limited amount of information to provide and improve our services. The includes:

  • A. Information You Provide Directly to Us: When you create an account and during onboarding, we ask you to provide the following information to personalize your experience:

    • First Name: We only ask for your first name. We do not request your last name.

    • Authentication Information: Your email address and a password you create, or an authentication token if you sign up using Google or Apple.

    • Military & Transition Status: Branch of Service, Military Status, Years of Service (range), and Planned Transition Timeframe (range).

  • B. Information We Collect Automatically via Firebase: To improve functionality and performance, we use several Google Firebase services which may collect:

    • Usage and Analytics Data (Firebase Analytics): Data about your interactions with the App, such as features used, modules completed, resources and modules favorited, and in-app awards such as ribbons and badges. This helps us understand what is most valuable to our users.

    • Performance Data (Firebase Performance Monitoring): Metrics such as network latency or loading speed to help us diagnose performance issues.

    • Crash Data (Firebase Crashlytics): Information about crashes, including device model, OS version, and app state during failure, used solely to improve app stability.

    • Device Information: This can include your device's IP address, unique device identifiers, and operating system information, which is standard for analytics and crash reporting services.

3. How We Use Your Information

We process your data based on your consent, legitimate interests, and our contractual obligation to provide services. Specifically, we use your data to:

  • Provide and personalize your experience: Create/manage your account, tailor content, and track progress.

  • Maintain and improve the App: To analyze usage patterns, identify and fix bugs, monitor performance, and use services like Firebase Remote Config to push updates and improvements.

  • Communicate with you: To respond to your inquiries, send important service-related announcements, and provide customer support. As described in Section 8, we may also send you push notifications if you opt-in.

  • Ensure security and compliance: To protect the security and integrity of our App and to comply with legal obligations.

We do not use your data for advertising, third-party tracking, or cross-app profiling.

4. How We Share Your Information

We do not sell your personal information. We only share it in the following limited circumstances:

  • With Service Providers: Your data is stored and processed via Google Cloud Firestore and Firebase services. Google is contractually obligated to protect your data and use it only for providing services to us.

  • For Legal Compliance: We may disclose your information if required by law or in the good faith belief that such action is necessary to comply with a legal obligation, protect our rights, prevent wrongdoing, or protect the safety of our users.

  • Business Transfers: If we are involved in a merger, acquisition, or sale of assets, your information may be transferred as part of that transaction.

5. Data Storage and Security

Your data is stored using Google Cloud Firestore, protected by Google's robust security infrastructure. We implement commercially reasonable security measures, including encryption for data in transit and at rest, to protect your information. However, no electronic storage method is 100% secure, and we cannot guarantee absolute security.

6. Data Retention

We retain your information only as long as necessary to fulfill the purposes outlined in this Privacy Policy. If you delete your account:

  • Your profile and associated data will be removed from our active databases within 30 days.

  • Backups may be retained for up to 90 days for disaster recovery or legal compliance.

7. International Data Transfers & Non-U.S. Residents

Our services are operated and managed on servers located in the United States. If you are accessing our App from outside the United States, please be aware that your information, including personal data, will be transferred to, stored, and processed in the United States, where our servers are located and our central database is operated. The data protection and other laws of the United States might not be as comprehensive as those in your country.

By using our services, you consent to your information being transferred to our facilities and to the third parties with whom we share it as described in this Privacy Policy.

8. Your Privacy Rights and Choices

  • Accessing and updating information: You can review and update your profile information at any time within the App's settings.

  • Deleting your account: You can delete your account at any time through the App's settings. This action is irreversible and will permanently delete your user profile and associated data from our active databases.

  • Push notifications: We may, in the future, use Firebase Cloud Messaging to send you push notifications related to your progress or new resources. You can opt out of receiving these notifications at any time by adjusting the permissions in your mobile device's settings.

  • Third-party links: Our App links to external resources. This Privacy Policy does not apply to the practices of these third-party websites. We encourage you to review their privacy policies.

  • Do Not Track: We do not currently take action in response to "Do Not Track" signals because a uniform technological standard has not yet been developed.

9. Your U.S. State Privacy Rights

Residents of certain states, such as California, have specific rights regarding their personal information. We extend these rights to all our U.S. users:

  • Right to Know, Delete, and Correct: You have the right to know what personal information we have collected, request its deletion, and correct any inaccuracies. You can exercise these rights by managing your account in the App or by contacting us.

  • Right to Opt-Out of Sale/Sharing: We do not "sell" your personal information or "share" it for cross-context behavioral advertising.

  • Right to Non-Discrimination: We will not discriminate against you for exercising your privacy rights.

10. Children's Privacy

Our App is not intended for or directed at individuals under the age of 18. We do not knowingly collect personal information from anyone under 18. If we become aware that we have collected personal data from someone under the age of 18, we will promptly delete such information and may suspend the associated account.

11. Changes to This Privacy Policy

We may update this Privacy Policy from time to time. If we make material changes, we will notify you by posting the new policy in the App and updating the "Effective Date" at the top of this page.
